Privacy policy
HireGate HR is a staffing, recruitment and talent management company with its head office in Karachi, Pakistan. This policy explains what we do with personal information when you use this website, apply for a role, or ask us to hire for you.
Draft for legal review. This page states our actual practice, but it has not yet been reviewed by a lawyer qualified in each market we serve. It must be reviewed before launch.
Who we are
HireGate HR, A-2/3 Westland Trade Centre, Karachi 75350, Pakistan. For any question about this policy, or to exercise a right described below, write to hr@hiregatehr.com.
The information we collect
If you are looking for work
- Your name, email address and phone number.
- Your CV, and anything you choose to put in it — work history, education, qualifications, and the referees you name.
- The role you applied for, and our consultants’ notes on your application and interviews.
- Your right to work in the market concerned, where a role requires us to establish it.
If you are hiring
- Your name, business email address, phone number and employer.
- The requirements of the roles you ask us to fill.
Everyone who visits this site
- Standard server logs: IP address, browser and device type, the pages requested and the time of the request. Our host records these to run and secure the site.
Where your CV actually goes
Every form on this website is hosted by Zoho and embedded here. When you submit one, your details and your CV go directly to Zoho and into our recruitment system. They are not stored on this website’s server at any point. We designed it this way deliberately, so that candidate documents live in one controlled system rather than in a folder on a web host.
Zoho is our data processor. It handles your information on our instructions and does not use it for its own purposes.
To be completed before launch: the Zoho datacenter region where candidate data rests. This determines which country your information is stored in and must be stated here.
Why we are allowed to hold it
- To provide the service you asked for. If you send us a CV, we use it to look for work for you. If you ask us to hire, we use your details to do that.
- Our legitimate interest in running a recruitment business — matching candidates to roles, keeping a record of who we have spoken to, and contacting you about roles that fit.
- Your consent, where we rely on it, which you can withdraw at any time by emailing us.
- Legal obligation, where a market requires us to keep or check something — right-to-work checks, for example.
Who we share it with
- Employers. We send your CV and our notes to a specific employer only for a specific role, and we tell you before we do. We do not circulate CVs speculatively.
- Our service providers. Zoho, which hosts our forms and recruitment system, and our website host. Each is bound to handle the information only as we instruct.
- Nobody else. We do not sell personal information, and we do not share it for advertising.
Sending information between countries
We serve employers in the USA, Canada, Pakistan and the Middle East from our offices in Karachi and Islamabad. That means your information will usually cross a border — a CV sent to us in Pakistan may be shared with an employer in Canada or Saudi Arabia. Where the law of your country requires a safeguard for that transfer, we put one in place, and you can ask us what it is.
How long we keep it
- Candidate records: two years from our last contact with you, so that we can approach you about a later role. Longer if you ask us to keep you on file, or if a legal obligation requires it.
- Employer records: for as long as we work together, and for seven years afterwards for tax and contractual reasons.
- Server logs: a short rolling period set by our host.
Ask us to delete your record and we will, unless we are required to keep part of it.
Your rights
Wherever you are, you can ask us to:
- tell you what we hold about you, and give you a copy;
- correct anything that is wrong;
- delete your record;
- stop contacting you about roles;
- stop relying on consent, where consent is what we relied on.
Email hr@hiregatehr.com and we will respond within 30 days. Your rights and how to enforce them differ by country — if you are in the EU, the UK, Canada or another market with a data protection regulator, you may also complain to that regulator.
Cookies
This site sets only what it needs to work: a session cookie if you log in, and a preference cookie our caching layer uses to serve pages quickly. The Zoho forms embedded on this site may set their own cookies when you interact with them; those are governed by Zoho’s own policy.
We will list any analytics or advertising cookie here before we switch it on. Today there are none.
Security
The site is served over HTTPS. Candidate documents sit in Zoho rather than on this web server, access to our recruitment system is limited to consultants who need it, and we review that access. No system is perfectly secure, and we will tell you promptly if a breach affects your information.
Children
This site and our services are for adults of working age. We do not knowingly collect information from children.
Changes
If we change this policy we will change the date below. Material changes will be flagged on this page.
